Collection & Access Policy Statement

The University Archives is authorized to collect, describe,
preserve, make accessible to the public, and display historical
records created or received in connection with the transaction of
university affairs. Among the materials held by the University
Archives are institutional records created by university
departments and offices, official university publications,
photographs, and collections of private papers created by
University of New Hampshire faculty, alumni, or organizations.
The Archives' permanent holdings are available to UNH
students, faculty, staff, and the public for research under the
following conditions:
- Patrons using the collections in the Archives must observe all instructions for the use of archival material.
- Access to records restricted by law will be limited to individuals authorized by statute, by the depositing department, or by court order.
- Patrons must honor any restrictions placed by donors of private materials.
As defined by its
Mission Statement,
the University of New Hampshire Archives is charged with the collection and maintenance
of those University records possessing permanent administrative,
legal, fiscal, and historical value. Determination of the status
of a University record is based upon an informed appraisal of the
record's value by the appropriate University officers and
administrators.
The decision to preserve records for administrative, legal,
and fiscal purposes is the responsibility of the University's
permanent officers and administrators in consultation with the
University Archivist. In general, these decisions are embodied in
the University's records retention and disposition schedules, which
are in compliance with governing University System of New Hampshire
policies and all applicable state and federal laws.
The decision to select and preserve records of historical
value is the responsibility of the University Archivist. The
purpose of collecting such records is to provide documentation of
the development and growth of the University, particularly of its
primary functions of teaching and research, its role in the State
of New Hampshire and in the community at large, the activities of
its student body and alumni, and the development of its physical
plant and grounds. Priority is given to those records that reflect
the activities of University officers and committees which
formulate or approve University or division-wide policy, as well as
faculty and administrative involvement in these activities.
